St. Stephen’s Committee Terms of Reference

Adopted by Parish Council October 6, 2008, amended January 8, 2009

Liturgy Committee

a.       The Liturgy Committee is responsible for planning the liturgy and assisting the Incumbent with liturgical decisions including music;

b.       The Liturgy Committee consists of the Incumbent, Altar Guild President, Music Director, Head Server, Lay Readers, Reader Co-ordinator, Sidesperson Chair, Sunday School Coordinator and members appointed by the Parish Council;

c.       The Incumbent chairs the Committee; and

d.       The Chair calls the meeting and prepares the agenda.

Finance Committee

a.       The Finance Committee’s role is to:

                     i.      Prepare the initial draft of the Operating and Property Budgets,

                   ii.      Help communicate financial information to the parish and encourage people to financially support St. Stephen’s,

                  iii.      Advise the Wardens and Parish Council on financial policy, and

                 iv.      Do anything else with respect to finances that the Wardens and/or Parish Council request;

b.       The Finance Committee consists of the Incumbent, Wardens, Deputy Wardens, Treasurer, Envelop Secretary and members appointed by the Parish Council;

c.       The Vestry or Parish Council appoints the Chair; Note for the chair to be a member of Parish Council, the Vestry must have appointed the person to the Parish Council; and

d.       The Chair calls the meeting and prepares the agenda.

Fund-Raising Committee

a.       The role of the Fund-Raising Committee is to:

                i. Prepare an annual plan of fund raising activities,

               ii. Provide guidelines doe convenors and volunteers to assist them in running and coordinating each event,

              iii. Encourage a broad (wide) involvement in fund raising events,

               iv. Assist in the recruitment of convenors;

                v. Act as a resource for convenors and volunteers, and

               vi. Develop new ideas for fundraising;

b.       The Parish Council appoints members of the Fund-Raising Committee;

c.       The Vestry or Parish Council appoints the Chair. Note for the chair to be a member of Parish Council, the Vestry must have appointed the person to the Parish Council; and

d.       The Chair calls the meeting and prepares the agenda.

Note: The appointment of convenors of fund-raising events needs to be confirmed by the Incumbent and Wardens.

Ad Hoc Property Committee

a.       The Ad Hoc Property Committee is to:

                     i.      Review the ideas contained in Par 5 of the Property Report presented to the September 21, 2008 Vestry meeting and any other ideas proposed during the life of the Committee:

1)      Evaluate them,

2)      Determine what is possible,

3)      For a given project, prepare any drawings and specifications that are necessary, and an estimate of the present cost the project, and

                   ii.      Work with the Parish Council to develop recommendations on how to proceed with these ideas;

b.       The Parish Council appoints members to the Ad Hoc Property Committee;

c.       The Parish Council appoints the Chair; and

d.       The Chair calls the meeting and prepares the agenda.

Ad Hoc Kitchen Renovation Committee

a.       The Ad Hoc Kitchen Renovation is to develop a plan to renovate the kitchen that includes specifications, drawings and estimates and work with the Parish Council to develop a proposal for presentation to the Vestry;

b.       The Parish Council appoints members to the Kitchen Renovation Committee;

c.       The Parish Council appoints the Chair; and

d.       The Chair calls the meeting and prepares the agenda.
